How can I limit the Access Rights to Confidential Payroll Batch?

Some Payroll Staff are not allowed to have access to Managerial and Senior-level Executives’ salary details and so restricting them also to access their payroll.


Before we jump to how to restrict access, please check and establish first the User Rights of your payroll staff in Settings!


Please enable "Access Group" under Employee Central


CREATE A GROUP

>> Settings >People >Groups


Create first a separate group for the employees that your Payroll Staff can have access such as Specialists or Rank & File employees and the employees that are Confidential such as Managers, Supervisors, President, and Vice President.




SET ACCESS GROUP RIGHTS

>> My Team >Select employee name >Employment Info


In the Employment Info of your Payroll Staff/Admin, go to <ACCESS RIGHTS> then select the group that he/she only needs to access.




ESTABLISH BATCH CYCLE

>> Settings >Payroll >Batch Cycle


Next, create a Payroll Batch Cycle for the groups that you created. For example: for R&F group, restrict the access to your Payroll Staff who should have access to it only. While for the Confidential group, select the authorized Payroll/HR Admin who should only access and process their payroll.


Employees

In the Profile Groups, choose the group you created. For example, Test Group – R&F


Authorized Employees

Select the employee who should have access to generate and process this Payroll Batch




Only the employee/s who have the authority to the Payroll Batch can have access to it. Other Admin/Payroll/HR Staff will not have the access to it and they will not also see the batch when they create a new one.
Newly added Authorized employees will not be able to access the historical batches created before he was added.



ASSIGN BATCH CYCLE TO PROFILE GROUPS

>> My Team >See more >Profile manager


Let’s set the Batch Cycle you just created to the employees in the groups. This determines the frequency and batch of the payroll where those employees must be included when you process one.


To quickly set the Batch Cycle in bulk, go to Profile Manager > Salary > Select Batch cycle > Filter profile groups.


Tick the box at the top to select <ALL> employees.


Click <Bulk Update> to save the changes.



You may double check the changes, just simply re-select the Batch Cycle and then filter profile groups.
