Learn how to disburse your Expense Claims and Advance!
Steps
Once claims are approved, you may now process the disbursement by following below steps.
Only authorized employees with edit access to the Expense Module can process and pay the pending claims. See the Expense User Rights for reference. Although, admins can still reject approved expenses (if necessary).
Step 1: Access the Team Expenses - go to Pending Payment page
Use Filters or Date Range to ease your disbursement process.
Step 2: Review claims - do a final review of all approved claims before disbursements
Click a claim to preview details.
Step 3: Disbursement - click the checkbox beside name then Bulk Action button to pay
Select all to make disbursement in bulk.
Step 4: Payments - a pop-up window will show to process payments.
The page will show you Total Approved Claims selected and Total Amount.
- Payment Method - can be through Payroll, Bank Transfer, Cash or Cheque
- Payroll Batch - payment method will go through payroll, a selection for payroll batch will appear. Make sure that the Batch is either in Open or Pending status to appear here
- Download File - get your file for payment
Step 5: Confirm Payments
All paid claims will appear as PAID in the Team Expenses. If payroll batch was selected, go to the batch it was included and check the Other Payment section.
