Executing a document
Follow this My Team - Document article on how to add document in Employee's profile
Step 1: Add Doc button - Require Execution
Click Require Execution button to start setting custom fields on the document for recipients
Step 2: Recipients form - fill up all necessary details
System will auto-populate the first recipient as the profile of employee and second recipient as the manager of employee. Admins can still add up to maximum of 5 recipients.
Set signing order 1,2,3,4,5 or check the box allowing all recipients to be set order as 1. Notifications email will immediately sent to first recipient or all recipients if there is no signing order. Set a Reminder to recipients on the due date to execute document
Step 3: Define Executable fields
Select the recipient and the fields that is applicable for execution
Fields are parts on the document to be fill up or replace by recipient. Admins may choose not to select any fields for each recipient. With that, recipient can approved the document without filling any details or placing signatures.
Step 4: Finish - once done, you will be directed to the New Document form
Click submit to begin the process
Approving an Executed document
All documents pending manager execution or approval are available on the Team Approvals page.
Step 1: Team Approvals - to access document approvals
Click the document with Execute status to open a window
Step 2: Execution Window
Click start to direct you to the first field and next to other field and so on. Reject the execution if you find it wrong.
Step 3: Finish - once all fields are completed
Once the execution is done, the next recipient (if there is another) will be in queue. After all Recipients have completed the document, it will now enter to the approval process.
If you are the approver of Employee in My Team, just go back to My Team Approvals page and approve or decline a document. After that document will be considered completed.
Once you're all done, the document's status will change to "Completed" and that's it!
