An Accounting Journal is a record of all financial transactions within a business, capturing details like dates, accounts affected, and amounts. In KAMI, it automates the recording process to ensure accurate and efficient tracking of financial activities, making it crucial for financial management and reporting.


The following guide will walk you through the process of creating a journal ledger for export.




STEPS


Step 1: Create a Accounting Journal template - Creating a report template allows you to tailor the journal ledger to meet your specific accounting needs. To create a template, go to Payroll >View Report >Create Report >Accounting Journal >Select a payroll batch then click Report Template. On the upper right, click the "New Template" to create a new one.

  • Name - the applicable name of your Accounting Journal report template
  • Account Description - description of the account associated with the payroll items
  • ID - a unique identifier to map the payroll items to the correct account in your accounting system, such as account numbers or code
  • Date - typically this would correspond to the payroll date or the date of the transactions being recorded
  • Payroll Item - the payroll items you want to include in the report. These could be salaries, allowances, deductions, or any other payroll-related entries
  • Show Details - a detailed breakdown, such as different types of allowances, check the Show Details option. This will expand the report to include all relevant subcategories
  • Entry - define whether each entry should be recorded as a debit or a credit
  • Memo - add a note or memo for future reference


When done creating a template, click Save to keep it. It'll appear on the dropdown list beside New Template button.


You can create as much templates as you need, depending on your requirements.



Step 2: Generate Accounting Journal report - The first step in creating an accounting journal report is to select the appropriate payroll batch. To generate the report, go to Payroll >View Report >Create Report >Accounting Journal >Select a payroll batch >Choose a template, click "Apply" to produce the report.


If the Date in the Report Template is blank, when you click Apply button, the current date when you apply it will be the date to appear in the accounting journal report.



Step 3: Export the report - If all good, click the Download button beside "Summarized By" dropdown list.


You can summarize the report by Cost Centre, Subsidiary, Department, or Employment Type then export report.


 



That's it – you're now good to go in exporting your Journal Entry report in KAMI!
