Managing employee time-off requests is a key part of efficient workforce management. In KAMI, administrators and approvers have the flexibility to edit, cancel, or delete employee leave requests when adjustments are needed. This capability ensures accurate leave records and prevents disruptions caused by unexpected schedule changes. This guide explains when and how managers can handle leave adjustments on behalf of employees.
Admins or Managers need "Attendance Admin" rights under User Rights to edit, delete, or cancel leaves.
Employees can cancel a leave, edit pending requests, or submit new leave applications.
Editing Approved Leave Requests
Employees can request changes to their pending leave requests. However, once a leave request is approved, they cannot make adjustments directly. Managers must handle all edits to ensure proper record management.
- Hover over the leave request in the Leave tab of the profile.
- Click the Edit (pencil) icon.
- Adjust the leave dates as needed.
- Click Submit to submit your edit request to your manager.
Editing a leave request as an Admin/Manager automatically updates the employee's leave details and balance.
Deleting Approved Leave Requests
Only managers can delete approved leave requests. To do so, follow these steps:
- Employees must ask their manager to cancel the leave, ensuring proper oversight.
- The manager navigates to the employee's profile, locates the leave event, and deletes it.
- The leave balance is restored, and the date will be empty of logged activity.
Once a leave is deleted:
Employees working on the canceled leave date must submit a Working Event Request.
Alternatively, the manager can log the working activity directly.
Canceling Pending Leave Requests
Employees can cancel their own pending leave requests if they no longer need the time off.
- Navigate to the leave request in the Leave Tab.
- Click on the leave request.
- Click on the Cancel button located in the Leave Approval.
- Click Submit to submit your cancel request to your manager.
Managers can also cancel pending leave requests on behalf of employees.
Key Notes for Approvers and Administrators
- Accurate leave management ensures schedules and leave balances remain up-to-date.
- Always communicate changes to employees to avoid confusion.
- Restored leave balances after adjustments provide flexibility for future leave requests.
