Learn how to prepare to upload files and import historical and future scheduled working events.
Choose <Import> in the dropdown list box in the Schedule Events section. Click on Get a sample template.
Preparing The Upload File
When filling up the template, be mindful of the following.
Employee ID - must include the Employee ID
Activity Type - an activity type you want to use must first exist in Activities
TIP: best to copy-paste activity name from the list to avoid upload errors on wrong spelling, even wrong capitalization
Rest day activity will automatically be tagged as a full day
Branch - a branch you want to use must exist in Branches
Holiday Type - If the event took place during:
Holiday - work done during regular holiday
Rest day - work done during rest day
Special holiday - work done during special holiday
Rest day & Special holiday - work done during rest day and at the same time special holiday
Rest day & Holiday - work done during rest day and at the same time regular holiday
Double holiday - work during double holiday
Double holiday & Rest - work done during double holiday and at the same time rest day
Start / End Date- the date where the Working Events should apply
Date formats - file should display YYYY-MM-DD
TIP: Excel default is to display in dd-mm-yy. Edit formatting in Excel before upload by going to Format >Format Cells >Number >Category: Date > Type: YYYY-MM-DD
Scheduled Start / End- the standard, regular, or the Working shift hours of the event
Time formats - military time displayed as HH:MM
For Rest Day activity it will automatically tagged as a Full Day
Core Start First / Last - see here. What are Core Hours? Leave this blank if not applicable.
Break Start / End - the break times of Working events
Check-in/out - the actual attendance of historical Working events
Break Check-in/out - the actual break times of historical Working events, leave blank if not applicable
Tardy - enter here the tardy count, if there are any
Absent - input here the absence count, if there's any (Example: 1.0 = 1 day)
Note: If you will upload historical events, ensure you also include employees' absences. We can put here up to 3 decimals.File format - be sure to use the required file format (XLSX). You may not see the file you made if it is not in the correct file format.
Once you're done formatting the template, double-check it before importing!
Importing The File
Step 1 - To import, just go back to where you get the template then choose <Import> in the dropdown.
Step 2 - Browse your file and click <IMPORT>, a notification will appear on your screen if it is.
Success! Meaning you have successfully added the Scheduled Events in the system.
Failed/Rejected. The system will reject your file when there is an error. Don't panic as ZipHR will also show the errors in the file on your screen and will also send you an email. Check your file and amend what's wrong then go ahead and re-import your file.
WARNING: Any existing event that overlaps with an implemented event shall be deleted and cannot be recovered.
